Staffing middle office glossary

An unscheduled shift started by the worker in the field. The shift is created at clock-in and its times are recorded at clock-out, so unplanned work still lands in the schedule and the timesheet.

The front-office system of record for candidates, clients, jobs, and placements, such as Bullhorn. Mach 1 does not replace it. It connects the work between the ATS and payroll.

Revenue lost because a shift the client wanted was never assigned a worker. It is the gap between gross demand and booked revenue.

The client's approval of worked time. In Mach 1 a client can approve timesheets in the client portal and sign off on a day's roster with a drawn signature, which is stored with a tamper-evidence hash.

Checking a worker's credentials at the moment they are assigned, offered, or swapped onto a shift, against the date of that shift. In Mach 1 a compliant worker passes silently, a credential expiring within 30 days raises a warning, and an expired, missing, or unverified credential blocks the assignment.

A category of pay or billing, such as Regular, On-Call, or Call Back. An earn code can apply to pay, to billing, or to both, and can be hourly or a flat amount. Rate cards carry one line per earn code.

Revenue lost because a booked shift was not completed cleanly: a cancellation, a no-show, or an early departure. It is the gap between booked and realized revenue.

The share of requested shifts that were filled. Usually tracked with time to fill, the minutes or hours between a shift opening and a worker accepting it.

A mobile clock-in that only succeeds inside a set radius of the work site. In Mach 1 an attempt outside the geofence is rejected and still logged, and the radius is configurable per site and job.

A client's request for staff: the role, site, dates, and headcount. In Mach 1 a job order moves through statuses from request to open, partially filled, filled, in progress, and completed, and can arrive manually, from the client portal, from Bullhorn, or from an emailed request that a coordinator reviews.

Time a worker reports after the fact because there was no clock-in. It is reviewed and approved before it counts, with an audit log of the decision.

The operational layer between placement and payroll: onboarding, credentialing, scheduling, time capture, rate management, and billing reconciliation. It sits between the front office (ATS, CRM, recruiting) and the back office (payroll, finance).

A shift that ends with no clock-in. Mach 1 marks it automatically and starts the replacement flow, and the lost revenue counts as execution leakage.

An on-call shift is standby time, paid under its own earn code. A callback is a period actually worked during that standby, punched separately and paid under the callback earn code.

An invitation to work a shift, sent to a qualified worker who can accept or decline from the mobile app. Mach 1 sends offers in ranked waves, each with an expiry, so the best-matched workers hear first.

The ATS record of a worker placed on a job. With the Bullhorn integration, a Bullhorn Placement is mirrored to a Mach 1 assignment, and booked and worked shifts are written back to it.

The full flow a placement travels before anyone is paid or billed: placement, onboarding, credentialing, schedule, time capture, approval, payroll, invoice. Mapping one such flow end to end is the fastest way to find where records are re-keyed or reconciled by hand.

The time between a confirmed placement and the worker's first shift. Onboarding, credential verification, and scheduling all sit inside it, so delays in any of them push the start date.

A hard requirement a worker must meet before being ranked for a shift at all, such as the job category, a required certification, or having no schedule conflict or approved time off. Gates screen the pool first. Scoring only orders the workers who pass.

The agreed rates for a client account, site, and job, with one line per earn code plus overtime and double-time multipliers. Mach 1 keeps bill-side rate cards and pay-side worker rate cards, both versioned, effective-dated, and approved before they go live.

Demand a staffing firm had but never billed. Mach 1 measures it as the drop from gross demand to booked revenue (capacity leakage) plus the drop from booked to realized revenue (execution leakage).

The three records every shift produces. Scheduled is what was planned: who, where, when, at what rate, under which credentials. Actual is what happened on the day. Signed is what was approved and documented, the record that becomes the invoice and the paycheck. Margin leaks where the three disagree.
